Under the direct supervision of the Site Manager or Practice Manager, the Scheduler is responsible for scheduling patient appointments. The Scheduler interacts with patients/visitors in a courteous, appropriate, respectful manner at all times and without exception. This position receives incoming calls and routes appropriately. The Scheduler shall take messages when necessary and shall forward such to the intended party in a timely, responsible manner. This position performs the following duties in accordance with the established policy and procedures of New Horizon Family Health Services.
DUTIES PERFORMED
• Receives incoming telephone calls, transfers calls to appropriate department or person. Forwards messages in a timely manner.
• Screens telephone calls, takes messages, records received information accurately and disseminates messages to appropriate person.
• Maintains daily patient appointment scheduling, answers incoming telephone calls, makes patient appointment reminder calls, and retrieves medical records, if necessary.
• Registers and/or updates patient demographic information into the EHR on a daily basis.
• Notifies member of management of suspicious activity observed in or around Center property.
• Maintains a neat/well-organized work area.
• Provides cross coverage for the Patient Service Representative position as required.
• Participates in CQI, other internal committees, special projects/observances or activities that promote improvements in organizational performance and/or advance the mission, goals and objectives of New Horizon Family Health Services.
• Must hold all patient Protected Health Information (PHI), other patient personal information and agency information in confidence, in accordance with the attached Employee Confidentiality Statement, which I have read, understand and signed.
• Actively participate in and comply with all aspects of the NHFHS Corporate Compliance Program, follow the Program Code of Conduct and obey all relevant laws, statutes, regulations and requirements applicable to Medicaid, Medicare and other State and Federal health care programs.Skills and Requirements
Education
• A minimum of high school diploma and educational certificate(s) with six (6) months experience in Unit Secretary Training, Certified Nursing Assistant, Patient Care Technician, Emergency Medical Technician or Medical Assisting
Experience
• Preferably:
- two (2) years of experience in a medical office, managing multiple phone line usage or a related medical office area and
- working knowledge of Electronic Health Records (EHR)

• Must have a working knowledge of computer programs and professional construction of sentences
• Has ability to speak and communicate effectively with co-workers, patients and the public.
• Has pleasant personality, pleasing, professional appearance and disposition.
